We’re on the hunt for a dynamic Executive Assistant / Virtual Assistant who shares our passion for green business and can help us streamline our operations and amplify our creative output.
Position Overview:
This is a unique opportunity for a highly organized, self-driven, and detail-oriented professional to support our CEO and creative team. As a part-time, fully remote role, you’ll play a crucial part in enhancing our operational efficiency, improving client delivery, and fostering team collaboration. Your work will directly contribute to our mission of delivering compelling, eco-conscious video content.
Key Responsibilities:
• Operational Excellence: Streamline systems for HR, accounting, and client project management using Google Workspace, ClickUp, and PandaDoc. Improve our workflow for efficiency and effectiveness.
• Creative Collaboration: Assist in managing the CEO’s calendar for optimal creative and work time, schedule follow-ups, and coordinate logistics for client projects at times, including order drives and shipping, travel, call sheets, documentation, NDAs, and many admin tasks as needed.
• Team Support and Development: Organize team appreciation initiatives (e.g., holiday gifts, and birthday cards) and contribute to a positive, inclusive work culture and. help build culture between contractors who work remotely all over and some who barely know one another.
• Marketing and Sales Support: Repurpose content to highlight our unique storytelling capabilities, assist in crafting sales materials, and manage client feedback processes for marketing insights.
• Sustainability Focus: Keep abreast of green business news, track our carbon footprint, and assist with sustainability certifications and recertifications.
• Assist the founder with Admin, Research, partnerships and general executive assistance.
• Occasionally personal remote assistant tasks for the founder
• A genuine passion for sustainability and eco-conscious living.
• Be somewhat versed in Sustainability markets and lingo
• Previous serious experience in a virtual or executive assistant role.
• Better at deeply organizing systems and integrations than our founder! 😉
• Exceptional organizational and time management skills.
• Excellent communication, writing, copy, spelling and interpersonal abilities.
• Proficiency in Google Workspace, Slack, ClickUp, and project management tools.
• Ability to work both independently and as part of a diverse team.
• Located in the USA, preferably NYS (remote work with potential WeWork office space access).
• College degree preferred.
